Case Number Assignment Update - Processing


Updates can be made to a non-endorsed case with an assigned FHA case number. You must be authorized to make the updates. For an endorsed case, information can only be viewed. Here is the basic procedure for updating case information:

Note: Use Borrower/Address Change to make changes to the property address or borrower information.

Getting Case Information

  1. On the Case Number Assignment (Update Existing Case) page, enter the 10-digit case number assigned to the mortgage in the FHA Case Number field.

  2. Click Send. If there is no error, the Case Number Assignment Update page appears for a non-endorsed case. Verify that you are working with the appropriate case by reviewing the information. Then, see Updating General Information. If a warning message appears above the FHA Case Number, see Warning Messages.

    If there is an error, an error message appears above the FHA Case Number field and the details of the error appear below it. Review the information in these fields. Make the required correction and process again.

    Note: For an endorsed case, a view-only Case Number Assignment Results page appears. Changes cannot be made.

Updating General Information

  1. On the Case Number Assignment Update page, verify that you are working with the appropriate case by reviewing the information.

  2. Update the information in any of the following fields in the General Information section:

    Lender Case Ref: Add or update your institution's reference for the mortgage.
    Loan Office Name: Update the loan officer for the mortgage originator or sponsor/agent.
    Loan Officer NMLS ID: Update the Nationwide Mortgage Licensing System (NMLS) identifier of the loan officer for the mortgage originator. This information is optional for the loan officer of a Housing Finance Agency (HFA).
    Date of Application (HECM only): For a Home Equity Conversion Mortgage (HECM), update the date the borrower signed the loan application (Fannie Mae Form 1009). Use an mm/dd/yyyy format. For a forward mortgage, leave this field blank.
    Case Type: Make another selection from the drop-down list.
    Construction Code: Make another selection from the drop-down list.
    Processing Type: For a HUD Real Estate Owned (REO) case with a case number assigned before March 14, 2016, another selection can be made from the drop-down list. For a HUD REO case with a case number assigned on or after March 14, 2016, only Real Estate Owned (REO) w/ Appraisal is a valid selection. Use N/A for all other cases. Note: This field is view only for a Home Equity Conversion Mortgage (HECM) case.
    Financing Type Use N/A for all cases. (Formerly used for the HUD Irregular case type, which is now obsolete.)
    Is this a HUD Approved Secondary Residence?: Make another selection from the drop-down list (No or Yes, awaiting HOC approval). For cases assigned a case number before September 14, 2015, this field is not applicable and is view only. Notes: Secondary residences are only permitted with written approval from the jurisdictional HUD Homeownership Center (HOC). When approved, the status is changed from Yes, awaiting HOC approval to Approved and field becomes view only. The status must be No or Approved to access Insurance Application and endorse the mortgage for FHA insurance.
    ADP Code: Click ADP Code Lookup in the ADP Code field to look up and select the appropriate ADP code for the section of the National Housing Act under which mortgage insurance is being requested. After an ADP code selection is made, the ADP Code Characteristics are displayed in the Amortization Type, Housing Program, Property Type, Special Program, Buydown, and Principal Write-down fields. Verify the information in these fields. If it is not correct, look up the ADP code again and make another selection or change the information entered in the ADP Code Characteristics fields.
     Note: The ADP code cannot be changed to a code designated for a HECM if the case was not initially established as a HECM (and vice versa). Instead, use Case Number Assignment to establish the case with the appropriate ADP code. The case must be reprocessed with the new FHA case number and ADP code.
    Living Units: Delete the current number and type the new number. Use a ## format, such as 01. A maximum of 11 units can entered.
    Accessory Dwelling Unit: Make another selection from the drop-down list. Note: If Yes is selected, Living Units must be 01.
    Program ID: Make another selection from the drop-down list.
     You can click Program ID Lookup to look up Program ID information.
    Loan Term: Update the length of the loan. Change the number of months from the beginning of loan amortization to loan maturity. Leave this field blank for a Home Equity Conversion Mortgage (HECM) or an FHA case established before July 14, 2008.
    Type of Case: Make another selection from the drop-down list. Note: If the case is a HECM, you cannot select a Forward mortgage option and vice versa.
    If Purchase: Was this case previously sold as Real Estate Owned (previously sold by HUD)?: Make another selection.
    If Refinance: Specify type of refinance: Make another selection. Note: For an existing FHA-to-FHA refinance case, you can click the Refinance Authorization link to display the Refinance Authorization Results pop-up page with details of the refinance transaction (for field descriptions, go to Refinance Authorization help.)

Note: Originator ID and Sponsor/Agent ID can be updated using Case Transfer on the Case Processing menu.

Updating "As Required" Information

Information may need to be updated in the As Required section of the Case Number Assignment page, depending on the features of the case. You may need to update details for one or more of these categories: Refinance, HOPE Loan, Real Estate Owned, PUD/Condominium, 203(k) Rehabilitation Mortgage, Existing Construction, New Construction (Less than 1 Year), Proposed or Under Construction, Department of Veterans Affairs Certificate of Reasonable Value (VA CRV) or HECM Housing Counseling.

Refinance Details

Information can be added or updated in the following fields:

All Refinances: Select the FHA to FHA Refinance Type: Make another selection from the drop-down list.
All Refinances: Is this a Cash-out Refinance: Make another selection.
Prior FHA and prior REO cases: Enter case number of previous case: If the prior mortgage was FHA insured, add or update the FHA case number. The FHA insurance on the prior case cannot be terminated. (Note: If there is a problem with the case number when processing, try replacing the last character with an "x.")
Projected Closing Date: If the prior mortgage was FHA insured, add the estimated closing date for the new mortgage. Use an mm/dd/yy format, such as 03/05/15. The date can be up to one month prior to today's date or 90 days after today's date.
 You can also click Calendar to select a date.
 To update existing information, use Refinance Authorization on the Case Processing menu.
Contact Name: If the prior mortgage was FHA insured, add the name of the lender's contact person. To update existing information, use Refinance Authorization on the Case Processing menu.
Contact Phone: If the prior mortgage was FHA insured, add the lender contact's telephone number. To update existing information, use Refinance Authorization on the Case Processing menu.

HOPE Loan Details (for HOPE cases prior to July 29, 2011)

To view the results of the property/borrower validation, click Property/Borrower Validation Results. A pop-up page appears with the details. Select Print to print the information and select Close to close the pop-up page.

HOPE for Homeowners loan information can be added or updated in the following fields:

(a) Confirm that this case qualifies as HOPE Loan: Make another selection from the drop-down list.
(b) Debt-to-Income (DTI) Ratio as of [date]: Update the ratio (use an nn.nn or nn format) and/or ratio effective date (use an mm/dd/yy format, such as 03/05/15).
 You can also click Calendar to select a date.
(c) Number of payments made on old loan: Update the amount (minimum is 6 and maximum is 480).
(d) Date of first payment for old loan: Update the date. Use an mm/dd/yy format, such as 09/05/09.
 You can also click Calendar to select a date.
(e) Current Mortgage Provider(s): Make another selection. More than one selection can be made.
(f) Type of Loan Product(s): Make another selection. More than one selection can be made.
(g) Combined loan-to-value (CLTV) of all liens: Update the ratio (use an nnn.nn or nnn format).

Real Estate Owned Details

If the property being mortgaged was Real Estate Owned (Property Disposition), add or update the FHA case number that had been assigned to it in the field stating Prior FHA and prior REO cases: Enter case number of previous case.

Note: If there is a problem with the case number when processing, try replacing the last character with an "x.

PUD/Condo Details

Planned Unit Development (PUD) or condominium details can be added or updated in the fields listed below.

PUD/Condo Indicator: Make another selection from the drop-down list.
PUD/Condo ID: Add or update the FHA ID for the condominium. This information is optional for a PUD.
 You can click PUD/Condo Lookup to search for the ID and/or submission number.
Submission: Add or update the submission number of the project (see above). This information is optional for a PUD. Note: This was formerly referred to as a Phase of the project.
Site Condo: Indicator cannot be changed to:
  - Single-Unit Approval; case must be canceled and another FHA case number requested for single-unit approval.
  - Spot Lot for cases assigned a case number on or after February 1, 2010.

203(k) Rehabilitation Mortgage Details

Update the information in any of the following fields:

203k Consultant ID: Add or update the five-character FHA ID for the 203(k) case. If a 203(k) consultant is not used for a Limited 203(k) case, enter the following: 203KS.
  You can also click Consultant Lookup to search for a 203k consultant.
203k Type: Make another selection from the drop-down list. For cases assigned a case number before September 14, 2015, this field is not applicable and is view only.
  - Select Standard if the mortgage is used for remodeling and repairs. The minimum repair cost of $5,000 and the use of a 203(k) consultant is required.
  - Select Limited for minor remodeling and non-structural repairs not to exceed a total of $75,000; there is no minimum. This is also applicable to property located in a Qualified Opportunity Zone (QOZ). The use of a 203(k) consultant is optional. Note: For a mortgage assigned an FHA case number before November 4, 2024, the maximum is $35,000.00 for a Limited 203(k) and $50,000 for property located in a QOZ.
Month/Year Completed: Add or update the month and year construction of the existing building was completed. Use an mm/yyyy format.

Existing Construction Details

For cases with a Construction Code of Existing Construction or New (Less Than 1 Year), enter a minimum of the year the existing dwelling was completed in the Month/Year Completed field. Use an mm/yyyy format. If the month is unknown, the month field may be left blank.

New Construction (Less than 1 Year) Details

For cases with a Construction Code of New Construction (Less than 1 Year), enter the month and year the Certificate of Occupancy (or equivalent) was issued in the Month/Year Completed field. Use an mm/yyyy format. The property must have never been occupied. Note: The FHA treats occupied property that has been completed less than one year from the issuance of the Certificate of Occupancy (or equivalent) as an existing property.

Proposed Construction or Under Construction Details

For cases with a Construction Code of Proposed Construction or Under Construction, enter a minimum of the year the dwelling is estimated to be completed in the Month/Year Completed field. Use an mm/yyyy format. The year may be estimated but must be either the year of or the year after the Case Number Assignment date. If the month is unknown, the month field may be left blank.

VA CRV Details

Update information for a Certificate of Reasonable Value (CRV) issued by the Department of Veterans Affairs (VA) in any of the following fields:

VA CRV Expire Date: Add or update the date the CRV expires. Use an mm/dd/yy format, such as 03/05/15.
 You can also click Calendar to select a date.
VA CRV Number: Add or update the number the VA assigned to the CRV.

HECM Housing Counseling Details

For a HECM case, you can do the following:

HECM Counseling Certificate Number: Update the nine-digit identifier issued through the FHA Connection for the completed Certificate of HECM Counseling, form HUD-92902. When the Case Number Assignment Update page is processed, the date HECM counseling was completed for the new certificate is displayed in the HECM Counsel Date field on the subsequent Case Number Assignment Results page. Note: You can click Consultant Lookup to the right of the field to display the pop-up HECM Counseling Certificate Information page with details on the completed Certificate of HECM Counseling, form HUD-92902. Click Close to close the page or click Print to print the page.

For a HECM refinance case that meets the conditions for waiving HECM counseling, leave this field blank. Note: Counseling can be waived for a HECM refinance if the Home Equity Conversion Mortgage (HECM) Anti-Churning Disclosure - form HUD-92901 is included in the case binder and it is determined by the system that the other conditions for a waiver were met.
HECM Counseling Waived: Make another selection from the drop-down list. If the case is a not a HECM refinance or a HECM refinance that does not meet the conditions for a counseling waiver, select No from the drop-down list. If the case is a HECM refinance and meets the conditions for a counseling waiver, select Yes from the drop-down list.

Updating Compliance Inspection Information

If a compliance inspection(s) of the property is required, you can add or update inspector information in the Compliance Inspection Fields section of the Case Number Assignment page. Note: Inspection information is not allowed for mortgages assigned an FHA case number on or after August 2, 2018.

Assignment Choice: Select the type of inspector from the drop-down list. (Note: If necessary, view the field description for an explanation of the choices.) Use N/A if the inspector type was previously selected.
Inspector ID: Add or update the four-character FHA ID for the inspector.
 You can also click Inspector Search to search for an inspector.

Submitting for Processing

When all of the updates have been made in the Case Number Assignment Update page, click Send. The Case Number Assignment Results page appears and lets you know whether or not processing was successful. See Reviewing Case Number Assignment Results.

Reviewing Case Number Assignment Results

The message at the top of the Case Number Assignment Results page informs you if the updates were processed successfully or not. Below are some of the common messages.

             SUCCESS
Case Number Update Has Been Successfully Completed

Any warnings are displayed below this message. Print out the page. If further processing of the case is necessary, select Other Functions near the top of the page and make a selection from the drop-down list.

             ERROR
Due to Listed Error(s) Request Will Not Be Processed

Click Review Error(s) to go to the Error(s) Detected field in the Details section near the bottom of the page. An explanation of the error is provided. The field that directly relates to the error is highlighted. Add or correct the information specified in the Error(s) Detected field. Then, submit for processing again.
