Holds Tracking - Processing


After a period of time has elapsed since Case Number Assignment was requested, use Holds Tracking to determine the status of the case. Depending on the reason the case is being held, it can take 24 hours to several days to compete processing.

  1. On the Holds Tracking page, type the 10-digit FHA ID for the lender requesting information in the Lender ID field.

    Click Lender Favorites to use Lender Favorites.

    Notes: Entering information in this field is optional for a lending institution seeking information for its own case(s). Also, the Employer Identification number (EIN) of a sponsored originator cannot be entered and only the FHA ID of the FHA-approved sponsor is allowed.

  2. Enter ONE selection criterion:

    By Status of Case: Make a selection from the drop-down list. You may want to choose All if more than one case is being held.
    By Street Name: Type just the name of the street, such as Elm or 42. Do not include the house number or street type.
    By Last Name: Type the borrower's last name, or last name and first name, such as Smith, John.

    To further narrow the selection, enter information in both By Street and By Last Name fields as described above.

  3. Click Send. If there are no errors, the Holds Tracking List page appears with a list of cases and their holding statuses.

    If there is an error, an error message appears above the selection criteria fields and the details of the error appear below them. Review this information. Make any necessary corrections and process again. Note: When the
    Error(s) Detected field in the Details section displays No Cases Selected, there are no records in Holds Tracking that meet the criteria you entered.

  4. To get further details about a case, click the radio button in the first column of the Holds Tracking List page, and then click Send. Only the details of one case can be viewed at a time. Below is an explanation of each holding status and what to do next. If the case does not appear on the list, see Reasons Why Case May Not be Listed.

No
The request for an FHA case number has not been processed yet by the HUD Homeownership Center (HOC). When selected, the Case Number Assignment Results page appears with the previously entered case information. Review the error message at the top of the page and the Error(s) Detected field in the Details section at the bottom of the page. Check Holds Tracking again within the next two working days to see if the HOC has processed the request. If necessary, contact the HOC to clarify or provide additional information.
Processing for Duplicate Address No There is another FHA case with the same property address. The HOC is still reviewing the request for an FHA case number. When selected, the Case Number Assignment Results page appears with the previously entered case information. Check Holds Tracking again within the next two working days to see if the HOC has processed the request. If necessary, contact the HOC to clarify or provide additional information.
Processing for Single-Unit Approval No Condominium Loan Level/Single-Unit Approval Questionnaire (Form HUD-9991) must be submitted for HUD review. If approved, an FHA case number is assigned to the mortgage for the condominium unit and an ID is assigned to the condominium project, if one does not exist. When selected, the Case Number Assignment Results page appears with the previously entered case information. Keep checking Holds Tracking to see if the HOC has processed the request. If necessary, contact the HOC to clarify or provide additional information.
Processing for Single-Unit Approval/Duplicate Address No The property is a single-unit approval condominium and there is another FHA case with the same address. See information above.
Pending Borrower Validation Yes A duplicate address issue was resolved by the HOC and/or a single condominium unit was approved and the case was assigned an FHA case number. Now, all borrowers are pending validation against Federal government records. Processing of the case can continue, but it cannot be endorsed for FHA mortgage insurance until all borrowers are validated. When selected, the Case Number Assignment Results page appears with the assigned FHA case number.
Completed No The request for an FHA case number was reviewed and rejected by the HOC. When selected, the Case Number Assignment page appears. Review the error message at the top of the page and the Error(s) Detected field in the Details section at the bottom of the page. The Lender Notes section provides any additional information or instructions from the HOC on processing the case. Make any required corrections to the case information and submit again. See Case Number Assignment - Processing. If necessary, contact the HOC to clarify or provide information.
Borrower Validation CompletedYes A duplicate address issue was resolved and/or a single condominium unit was approved, an FHA case number was assigned, and all borrowers passed validation against Federal government records. When selected, the Case Number Assignment Results page appears with the case details. To continue processing the case, select Other Functions near the top of the page and make a selection from the drop-down list.
Failed Borrower ValidationYes

An FHA case number was assigned, but one or more borrowers failed validation against Federal government records for (a) an existing case or (b) a new case assigned a case number. When selected, the Case Number Assignment Results page appears with the reason for the validation failure displayed in the Borrower Information section. Case processing can continue. However, a severe case warning was issued and the case cannot be endorsed for FHA insurance without HOC acknowledgment of the warning. If appropriate, use Borrower/Address Change to correct borrower information. To continue processing the case, select Other Functions near the top of the page and make a selection from the drop-down list. For a new case, print the Case Number Assignment Results page to capture the case number.

    Note: For a HOPE for Homeowners case, one or more borrowers failed the property/borrower validation and a severe case warning was issued. The results of the property/borrower validation are available via Case Number Assignment Update and Insurance Application. The case cannot be endorsed by the lender and the case binder must be submitted to the HOC for review.
